Description
Looking for an energetic, detailed professional in our Madison Office. This position would be part-time, Monday-Friday, mornings or afternoons.

Perform customer service, administrative and office support activities for staffing branch office and other various programs. Greet and direct visitors, facilitate the applicant registration process both in person and on the phone. Field inbound and place outbound calls, schedule interviews and other appointments, input and verify weekly time entry, data entry, filing and ensure data quality. Plan, prioritize and organize workload, recommend changes in office practices or procedures.

Essential Duties and Responsibilities include, but are not limited to, the following:

Provide exceptional customer service to all stakeholders, program participants and co-workers.

As part of the Call Group, answer inbound calls by assisting or redirecting caller to appropriate resource or service. Communicate daily with Call Agents and as needed.

Conduct regular, continuous applicant to ensure applicant data base is up to date and accurate. Conduct regular, continuous employee outreach to ensure worker engagement and retention.

Facilitate application and agency welcome process for all new and returning applicants through use of the online application process, edocs and orientation materials. Facilitate orientation and on-boarding processes, including but not limited to references, background and drug screening, time entry training, start information and related. Enter and update all information gathered to ensure accuracy and timeliness. Track and document all required and pertinent applicant information for reporting, skills matching, employment eligibility and identifying trends and in accordance with Department of Labor, Worker's Compensation, Unemployment Compensation and other standard State and Federal requirements for agency.

Track, gather, verify and input weekly time from various forms of time collection. Ensure timeliness and accuracy. Coordinate with Payroll department on weekly payroll processing. Document, communicate and escalate absence or tardiness issues. Provide reports and data as requested and in keeping with agency policy.

Support and contribute to all placement and billing goals for the branch and the division. Prioritize all other projects and duties with placement needs.
Attend and contribute to scheduled meetings and trainings regularly.

Provide on-going and/or project-based administrative support as identified by leadership. Provide coverage support as needed for other branches and divisions.

Ensure stock of supplies is kept up to date. Immediately communicate maintenance, facilities and/or equipment needs to leadership..
